To edit a General Ledger account, open the GL Manager and either locate and double click on the account in the Account grid or choose TOOLS, Chart of Accounts and call up the account.  You can type in the account number or use the F8 key or Look-Up Button to locate the account.  You can abandon the edit at any time by clicking the CLEAR Button or hitting the F9 key.

To change the account number, choose TOOLS, Change Account Number.  Enter the new Account Number desired and click OK.  This process may take a while to complete since the “Change” procedure not only updates existing GL transactions, it also updates any Voucher distribution line referencing the old account number.

When changing an account number, you must enter a unique account number for the new number.  If you want to merge 2 existing accounts, call up the account to be merged into another and choose TOOLS, Merge Account.  Enter the Account number into which you are merging and click OK.  This process may take a while to complete since the “Merge” procedure not only updates existing GL transactions, it also updates any Voucher distribution line referencing the old account number.  Note that a merge function is irreversible – make sure this is what you want to do.

To change the Account Type of a GL Account from debit to credit or vice versa, just choose the opposite account type and click SAVE. Orion will warn you that this may impact your financials and ask if you want the system to automatically reverse the sign of the balance.  For example, you set an account up as a credit account and it is carrying a negative balance (more debits have hit the account than credits).  If you answer Yes to flip the sign, the account will become a positive debit account.  Unless otherwise instructed by Orion Support Personnel, you should always answer “Yes” to flipping/adjusting the sign for any account with a balance other than zero.
