Adding an Image to a Check Request

To attach a copy of a receipt to your Check Request, you must first scan and save the receipt to your computer (local drive, desktop, or network drive).  You may then start and complete your Check Request as usual.

Before saving your Check Request, click on the ATTACH IMAGE Button and the following screen will appear:

Click on the ADD PDF FILE Button, browse to where you saved the scanned document and choose the image you saved earlier.  Once you have pulled in the image, click the SAVE CHANGES Button to return back to the Check Request Form.  Make sure all required fields are completed and click OK.

If your Firm requires that you submit a “copy” of the Check Request with the Check Request (in other words, the Firm wants to keep an image of the Check Request with the Voucher created by the same), you can do this without printing the Check Request to the printer and scanning it.  Your steps would be as follows (this assumes you have an Adobe PDF Print Driver)

1.    From the Check Request Form, click the PRINT FORM Button and the Windows Printer Dialogue will appear:

2.    Choose Adobe PDF (or any other PDF Print Driver) as your Printer.

3.    Click OK to print the document.  You will be asked to provide a name and location for the PDF file that is being created – save it to your computer and enter any name you wish.

4.    Once done with printing a copy of the Check Request to a PDF file, click the ATTACH IMAGE Button on the Check Request Form and follow the steps given.  If you had already attached other backup documentation to the Check Request, the ATTACH IMAGE Button will read VIEW IMAGE.  Click on the VIEW IMAGE Button and follow the steps.  Orion will attach the “additional” PDF file to the existing image.

There are several ways you can edit an image once you have pulled it into the “Image Viewer.”  To delete a specific page of the image, click on that page (it will outline in blue), and then click the DELETE SELECTED PAGE(S) Button.  To redact a portion of a page, click the REDACT Button and then click on the Page.  A rectangular box will appear as shown.  Move and size the box to cover up that portion of the image you do not want showing.

The system will also allow you to attach JPG, BMP and PNG files as images.  To do this, click on the ADD BLANK PAGE Button and then click on the INSERT IMAGE Button.  Locate and pull in the appropriate image and then choose SAVE CHANGES.
