Prebills and Incomplete Time

 1. Check for incomplete Fee Entries.  You may run a Fee Listing Report and ask for incomplete time entries.  They will also show in red in Time Manager. These entries will NOT appear on a Prebill. In order to correct them, you will need to go to each entry and complete it. In some cases you may simply need to tab through the fields and hit Save. If a Fee record is keyed and entered on a Client-Matter that is still in the Intake process, the Fee record will initially be saved as Incomplete. You will need to go back to those records, tab through your fields, and click Save in order to verify the Rate and change the status of the record from Incomplete to work in process.  Once in WIP, the Fee record should show up on a Prebill assuming the criteria are correct in the Generate Prebills window.

 2.  Double check that the Matter itself has not been deferred from Billing. You may click on the Select/Defer button in your Generate Prebills window to double check, or you can look in Matter Status at the status of the Matter – make sure that the Bill Status field on the first tab reads Selected.  If it does not the Matter has been deferred.

 3.  Make sure your cutoff dates, billing cycles, and fee arrangements have been selected properly in your Generate Prebills window.

 4. Double check you are not accidentally suppressing WIP for a dollar amount that would prevent certain Prebills from being printed. Typically this is set to .01 to only prevent Prebills with no work in process from printing.

5. Double check if you are accidentally checking the check box that says Include Matters where Minimum Number of Days have Passed. If so this may affect whether or not a Prebill is generated.   If a minimum number of days have NOT passed since the last Invoice or since the date the Matter was opened, then a Prebill would not print. For Monthly bills at least 20 days must have passed since the last Invoice or matter open date. This is based on the billing cycle of the matter and minimum number of days associated with the billing cycle.

Note you will NOT get a Prebill printout for any Client-Matters that are still in the Intake stage and have not been officially assigned a number, and you will not see any INCOMPLETE entries on a Prebill (they must be in WIP status in order to be presented).

Periodically, if not monthly, right before you run Prebills, it is recommended to run a WIP aging as a cross check on your monthly billing processes and to compare that to Prebills that are being produced to make sure you are generating the ones that are needed for each Client-Matter.

This helps prevent accidentally deferring a Client-Matter or accidentally assigning a Client-Matter the wrong billing cycle or fee arrangement, an action which could, at times, prevent a Prebill from printing depending on the settings in your Generate Prebills window. Run all your Prebills for all cycles, and all fee arrangements without suppressing any WIP and also double check that you have not inadvertently deferred a Client-Matter.
