Orion handles the posting of partially applied transactions in different ways depending on the transaction type (Accounting Code). A partially applied transaction can mean a portion of the transaction was applied or nothing was applied.
Payments (PMT)
If you post a partially applied PMT, Orion will create a Retainer Deposit (RDP) equal to the unapplied amount using the same date as the PMT transaction. This “new” Retainer Deposit will be immediately reflected in the Client-Matter Retainer Balance. The amount of the original PMT transaction is changed to reflect the amount actually applied. If you go into AR Manager after posting the partially applied PMT, you will be able to locate two transactions (a PMT and a RDP) for the Client-Matter for the same date. For example, if you receive a $1,000.00 payment from a Client-Matter that has only $700.00 in accounts receivable, you would enter a $1,000.00 PMT through AR Entry and apply $700.00 against the open invoice(s). You would then post the payment as a partially applied transaction at which time Orion changes the $1,000.00 PMT to $700.00 and creates a RDP transaction in the amount of $300.00. This feature allows you to enter a payment that is greater than the total due in one step – Orion will take care of setting up the retainer balance for you.
Retainer/Trust Applied as Payment (RAP/TAP)
If you post a partially applied RAP or TAP, Orion will change the amount of the original RAP/TAP transaction to the actual amount applied, create General Ledger transactions for the amount applied and posted and place the unapplied amount back into the Retainer/Trust balance of the Matter. In order for a RAP to be posted when partially applied, it cannot have been through an invoicing cycle. In order for a TAP transaction to be posted when partially applied it has to have been entered through AR Entry and it cannot have been through an invoicing cycle. TAP transactions created through Accounts Payable cannot be partially applied.
Credits (CR)
When you post a partially applied CR transaction, Orion changes the amount of the CR transaction to the amount applied and posted and creates a new CR transaction equal to the amount unapplied. This new transaction is created with the same date as the original transaction.
Write Offs (WO)
Posting a partially applied WO works differently than any other transaction type. When the transaction is posted, Orion changes the amount of the WO to reflect the amount applied and posted. A new transaction is not created for the unapplied amount. If you post a WO where $0.00 has been applied, the transaction is deleted in its entirety.
